Role Description – Administrator
Duties and Responsibilities (include, but are not limited to the following):
1. Reception
Ensure a warm and welcoming initial interaction for callers, clients and visitors, whether through telephone or face-to-face interactions. This includes efficiently managing sign-in procedures.
Take and screen telephone calls sensitively and courteously, record details accurately and effectively. Relay messages to appropriate individuals or teams in a timely manner.
Respond in a timely manner to general enquiries by phone or email.
2. Administration
Preparation of letters and reports as required.
Formatting, circulation of and filing of organisational policies and procedures documents.
Ordering of stationary and other supplies as required.
Minute-taking at meetings as required.
Organisation of effective inward and outward post for the organisation
From time to time provide cover for colleagues when absent.
Manage electronic key card system for client accommodation at Tabor Fellowship premises.
3. Data Entry and Filing
Complete data entry to the Client Management System and ensure that this system is accurate and up to date. Ensure that data is available on request for reports (e.g. occupancy levels, etc.)
Maintenance of organisational files and records in compliance with GDPR and the organisation’s Record Management Policy and Procedures.
4. Client Support
Act as the liaison for client appointments with doctors, dentists, pharmacy etc.
Arrange letters that clients may require in liaison with Clinical Staff.
5. Financial
Collect and lodge rental payments from clients (including clients in the Recovery Living)
Monitor rental payments by clients and notify the Senior Counsellor of any discrepancies at an early stage. Ensure rental accounts are up to date and liaise with finance on same.
Ensure that client social welfare payments are transferred as agreed.
On occasion, liaise with Social Welfare Officers as necessary.
Support clients to complete and submit relevant documentation e.g. Medical Card, Social Welfare Payment etc.
6. Quality and Risk Management
Comply with the Risk Management Policies and Procedures of Tabor Group.
Comply with Quality Assurance and Accreditation procedures in place at Tabor Group.
Comply with procedures for Risk Management and ensure that risks and incidents are documented and reported appropriately so that management is alerted to any risks detected
Ensure self-awareness of and compliance with requirements as an employee under Health and Safety legislation.
Participate in appropriate training as arranged by management to address any Health and Safety issues or risks.
Participate in regular team meetings and contribute to the innovative and positive development of Tabor Group.
Contribute directly to implementing and developing change within the organisation.
7. Information Management
Comply with any relevant administrative and financial procedures at the centre.
Maintain all records within the context of confidentiality and in compliance with relevant legislation e.g. Data Protection and Freedom of Information Acts.
Comply with and input into the collection of information to implement and monitor agreed performance targets for the services provided by Tabor Group.
Answer phone calls to the centre, and pass on messages received as required.
Coordinate the archival and secure destruction of files in accordance with the organisation’s Record Management Policy and Procedures.
8. Statutory and Legislative Requirements
The provisions of the Safety, Health, and Welfare at Work Act, 2005 (Chapter 2 Section 13 – Duties of Employees) apply to the organisation. This section outlines the general duties of employees in matters related to safety, health, and welfare issues at work. Employees of Tabor Group shall:

Qualifications
Appropriate experience in CRMs and other relevant systems, as required, is desirable.
